Operations Administrator
Location: Ware, Hertfordshire
Salary: £35,000-£42,000 per annum, depending on experience
Term: Permanent
Our client is a growing specialist business looking for an experienced Office and Operations Administrator to take ownership of the processes that keep its projects, orders and wider business running smoothly.
This is a varied and responsible position rather than a simple administration role. You will manage customer orders from receipt through to delivery, project completion and invoicing, while also supporting finance, compliance and the company director. The role would suit a capable all-rounder who understands how different parts of a small business fit together and who enjoys following tasks through to a proper conclusion.
The role of Office and Operations Administrator
- Manage customer orders from purchase order through to delivery, completion and invoicing.
- Enter orders into the CRM and identify the components, supplier purchases, subcontractors and transport required.
- Raise and coordinate supplier and subcontractor orders, monitoring acknowledgements, availability and delivery dates.
- Coordinate incoming goods, installations, transport and customer delivery bookings.
- Keep customers informed and resolve delays, missing information, incomplete deliveries and follow-up work.
- Maintain accurate sales and purchase information in Xero and ensure it is consistent with the CRM.
- Liaise with the bookkeeper and help maintain visibility of commitments, expected receipts and cash-flow pressures.
- Maintain ISO systems and routine health and safety records, registers and action logs.
- Manage subcontractor documentation
- Support audits, compliance reviews and corrective actions, escalating complex or high-risk matters when specialist advice is needed.
- Support the director by maintaining action lists, following up outstanding matters and preparing reports, spreadsheets and documents.
- Manage recurring business administration and occasional diary, appointment and general office tasks.
To be successful in the role of Office and Operations Administrator
- Strong experience in a broad operations, project, contracts or senior administration role, ideally within a small or medium-sized business.
- Highly organised, methodical and exceptionally attentive to detail.
- Able to prioritise competing demands, work independently and follow matters through without constant instruction.
- Commercially aware, with an understanding of the financial and operational consequences of decisions.
- Confident communicator
- Friendly, approachable, practical and solutions-focused, with the discretion to handle confidential information.
The salary and package for the Office and Operations Administrator role
- Basic salary of £35,000-£42,000 per annum, depending on experience and capability
22 days annual leave, plus Christmas shut down and bank holidays
